Purchasing Assistant

We have achieved tremendous growth over the last four years, and we are seeking a Purchasing Assistant to join our Operations team.
JOB DESCRIPTION:
The successful candidate will report to the Operation Manager and is responsible for purchasing and maintaining supply and inventory levels required for effective company operation by following company purchasing policies and procedures.

The ideal candidate will possess strong interpersonal, and organizational skills. They should be comfortable with multitasking and be able to budget the resources in order to meet the assigned goals for their role. Data analytical skills and organizational skills are essential.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
  • Compare Sales data and inventory data to create quarterly purchasing forecast. Places purchase orders based on received purchase requisitions and sales volume - Follows up on pending purchase orders - Handles and verify purchase invoice and payment – Resolve purchase order/invoice discrepancies with the manufacturer- Updates and maintains the Purchasing Plans.
  • Monitor inventory levels and make re-order, min, and max levels to minimize inventory and maximize service levels.
  • Coordinate Freight with logistic vendors, monitor and track shipments to ensure that goods come in on time, update inbound shipment worksheet.
  • Coordinator with Operation manager for custom clearance, shipment audit and resolve claim and shipping discrepancy from carriers.
  • Evaluate existing logistic vendor’s performance based on price, quality, service, support, availability, reliability, and distribution capabilities, on-time shipping records.
  • Monitors contract deliverables ensure that all elements of the goods are delivered in accordance with the order.
  • Manage and follow up on open purchase order, update and maintain the purchase order in ERP system.
  • Log and track RMA credit status through the approval process and ensure that required approvals and supporting documents are provided.
  • Update each key member including but not limited to, Sales, Marketing, Customer Service as well as other key functional areas of any updates or changes to product ETA.
  • Work closely with warehouse team and provide coordination for receiving.

REQUIRED KNOWLEDGE, SKILLS AND ABILITIES:
  • Bachelor’s degree in a business-related discipline
  • At least 1 Years of work experience in similar field
  • Excellent organizational and time management skills
  • Ability to thrive in a fast paced, rapidly changing work environment with many competing priorities
  • Ability to work in a deadline-driven environment with minimal supervision
  • A strong work ethic with a positive "can-do" attitude and one who takes pride in the quality of their work
  • High attention to detail and accountability in analytical assessments, but with the aptitude to maintain a big picture perspective
  • Hard-working and committed to producing great end results
  • Strong computer skills including proficiency in Microsoft Office suite, particularly in Excel and Access
